When you get started, we advise you to create a template in Tui’s Templates for each new case or condition you encounter. When encountering a new case, create a template and simply write your report as you normally would. When you’re done, save the template and click the ‘Copy report’ button and paste your text in the application of your choosing.
The second time you are presented with the same case, you won’t start from scratch. Open your template, which will give you a good starting point. Identify text that is now different from last time and replace it with dynamic text variables, or tags as we call them. Tags can be reused multiple times in your template, for example patient- and owner name. There are multiple tag types to cover a wide range of scenarios. Enter a value for each of the tags you created and click ‘Copy report’ when you’re ready.
Adding more tags and improving your template a little each time will quickly compound your time savings.
Which templates you create and how you organise them is up to you. You can combine variations of a condition in the same template, or create generic templates that cover a range of conditions. The possibilities are endless.
In the panel on the left you can see the tags that have been already been created in the template. Clicking on one of the arrows pointing to the right will add the tag to the template contents where your text cursor is. Using the 'New tag' button at the top, you can create new tags.
Tags in the document, the right side of the screen, can either be blue or orange. Blue tags indicate a value has been entered on the left side of the screen for this tag. Orange tags indicate a value has not been added for this tag. Clicking the 'Copy report' button when there are one or more orange tags will show a message alerting you that you have empty tags.
By using gender tags such as 'she / he', you can create a single template that works for both female and male patients. Simply choose the gender of your patient and all the gender tags will adjust accordingly. While you can avoid gender pronouns in your writing, we have found using them feels more natural and provides a better reading experience.
The blank option allows you to leave a tag intentionally blank. By either selecting [blank] or typing "[blank]" as a tag value, the tag turns grey and will be excluded when copying. Spaces on either side of a blank tag will also be removed during export. If a blank tag has spaces on both sides, they will be replaced with a single space.
You can insert tags with capitalisation, which can be useful when you have something that needs to be capitalised in one place but not in another. Holding down the shift key on your keyboard and clicking one the arrows in the panel on the left will insert the tag in your template with capitalisation. The first letter of the tag value will now be capitalised in the document, but only in places where you inserted it the tag while holding shift. This also works with all tags, including gender tags.
There are two ways to save. Clicking the 'Save' button saves the contents of your template as well as the values of your tags. You can also use a keyboard shortcut to save by pressing Control + 's' on Windows, or Command + 's' on macOS.
'Save as' allows you to save the template contents and tag values as a new template, any unsaved changes will not affect the original template.
The value entered or selected for tags will only be saved when using the save function. However, changes made to tags on the 'Edit tag' screen, such as adding an additional option to a multiple choice tag or changing the tag type, will be saved immediately.
When you have completed your report, click the blue 'Copy report' button at the top of the page and all the text will be copied to your clipboard. This also strips out the blue tags and replaces them with the values they have, ready for you to paste where you need it.
'Copy report' does not save changes you have made in the template. This is intentional, and allows you to make small changes to the text without unintentionally changing the template. If you want to save the changes you have made, please save your template.
